Privacy Policy

This policy explains what personal data wehandle.tax collects when you use this website — through the "Get started" form, the "Quick enquiry" form, or when downloading one of our free guides — why we collect it, who we share it with, how long we keep it, and how to ask us to stop.

This is a plain-English summary written for our clients and website visitors, not a substitute for legal advice. If you're relying on this page for compliance purposes, please have it reviewed by a solicitor familiar with UK GDPR before doing so.

Who we are

wehandle.tax is operated by Virtual CFO Ltd (company number 07430019), registered at 118 Watermoor Point, Watermoor Road, Cirencester, GL7 1LF. We are the data controller for the personal data described on this page.

What we collect

We only ask for what we need to respond to you and, where relevant, to prepare a quote or deliver a guide:

  • Get started form: your name, email, phone number, and details about your tax situation (for example your income sources and tax year) so we can understand what help you need.
  • Quick enquiry form: your name, email, phone number (optional), and your message.
  • Free guide downloads: your name, email, phone number (optional), and which guide you requested.

We don't ask for or store any financial account details, National Insurance numbers, or Unique Taxpayer References through this website — those are only ever collected securely once you're engaged as a client, through separate, appropriate channels.

Why we collect it

  • To reply to your enquiry and answer your questions (legitimate interest / steps towards a contract).
  • To assess whether our services are a good fit for you and prepare a quote (legitimate interest / steps towards a contract).
  • To send you the free guide you asked for (steps towards a contract).
  • To send you occasional emails about tax and bookkeeping topics, if you don't opt out (consent — see "Marketing emails" below).

Who processes it

We use a small number of trusted services to run our enquiry process. Each only receives the data it needs to do its job:

We don't sell your data, and we don't share it with anyone outside this list except where we're required to by law (for example, to HMRC or a regulator, but only once you're a client and only as needed to provide our services).

How long we keep it

If your enquiry doesn't turn into a client relationship, we'll delete your details within 24 months of our last contact with you, unless you ask us to delete them sooner.

If you become a client, we keep your records for as long as our engagement runs and afterwards for as long as we're required to under standard UK accounting, tax, and anti-money-laundering record-keeping obligations — typically several years after the engagement ends. We'll confirm the specific retention period that applies to you in your Letter of Engagement.

Cookies

This website doesn't currently use analytics or advertising cookies. The "Get started" form is embedded from Tally and may set its own functional cookies when you use it — see Tally's privacy policy for details.

If we add analytics or a tracking pixel in future, we'll update this page and show a cookie consent banner before anything non-essential is set.

Marketing emails

If you download a guide or fill in the "Get started" form, we may add you to our Mailchimp mailing list to send you helpful tax and bookkeeping content. Every email includes an unsubscribe link, or you can email us directly and we'll remove you.

Your rights

Under UK GDPR, you can ask us to:

  • Show you the personal data we hold about you
  • Correct anything that's inaccurate
  • Delete your data, where we're not required to keep it for legal or regulatory reasons
  • Stop using your data for marketing
  • Provide your data in a portable format

To do any of this, email hello@wehandle.tax. If you're not satisfied with our response, you can complain to the Information Commissioner's Office (ICO).
